Data Deletion Instructions

Overview

At MyOBot, we respect your right to control your personal data. This page explains how you can request deletion of your data from our platform, including data associated with Facebook, Instagram, WhatsApp, and other connected messaging platforms.

What Data Can Be Deleted

Account Owner Can Delete:

  • Account: Complete account and profile removal with email confirmation (deactivates account, cancels all Stripe subscriptions, and removes access to all data)
  • Chatbot Data: Bot configurations, training data, and documents
  • Channel Data: Chat/Portal/API/Webhook channels and configurations
  • Conversation Data: All conversation history and interaction logs (shows "Removed by account owner" badge to users)
  • Search History: Portal search queries and results (shows "Removed by account owner" badge to users)
  • API/Webhook Requests: Request logs and response data from API endpoints and webhook integrations
  • Connected Platform Data: Access tokens and integration data for Facebook, Instagram, WhatsApp, LINE, Telegram, etc.

Users Can Delete Their Own:

  • Conversation Data: Their own message history and chat conversations (removed from view immediately)
  • Search History: Their own portal search queries (removed from view immediately)

Request for Others Deletion:

  • Analytics Data: Usage statistics and engagement metrics
  • Billing Information: Payment records (subject to legal retention requirements)
  • Credit Card Information: Can be deleted from Stripe customer portal or by request

How to Request Data Deletion

For Account Owners (Self-Service)

Log in to your MyOBot account and use the following options:

  1. Dashboard: Click on the Delete button next to each bot to delete bot configurations and data
  2. Channels: Navigate to Channels page and click Delete button to remove Chat/Portal/API/Webhook channels
  3. Summary Page: Click on each tab (Chat/Portal/API/Webhook) to delete or clear conversation history, search queries, and API/webhook requests
  4. Account Deletion: Navigate to Settings → Profile and scroll to the "Danger Zone" section
    • Click "Delete Account" button
    • Confirm and receive deletion confirmation email
    • Click the link in email and enter your password to confirm
    • Your account will be deactivated, all Stripe subscriptions cancelled, and all workspaces/bots deactivated

Note: Deleted data will show "Removed by account owner" badge to users and will be permanently removed from our systems after 90 days. Account deletion is irreversible.

For Users (Self-Service)

You can delete your own data through:

  1. MyHistory Page: Go to /myhistory to remove your chat conversations and search queries
  2. Chat Channels: Open any chat conversation and use the delete button to remove your chat history
  3. Search Portal: Visit portal pages to clear your search query history

Note: Your deleted data will be immediately removed from view and permanently deleted from our systems after 90 days.

Email Request (For Account or Billing Data Deletion)

To delete account information, analytics data, or billing information, send an email to our Data Protection team:

Include: Your registered email address, account details, and specify what data you want deleted

Facebook Data Deletion (For Social Platform Users)

For Facebook Messenger Users:

If you chatted with our bot via Facebook Messenger and want to delete your data:

  1. Go to your Facebook Settings
  2. Navigate to Apps and Websites
  3. Find MyOBot in the list
  4. Click Remove and follow the prompts
  5. Your Messenger conversation data will be automatically deleted within 48 hours

Automatic Deletion: When you remove MyOBot from Facebook, we receive an automatic notification and immediately soft-delete your Messenger conversations. The data is removed from active view immediately and will be permanently deleted after 90 days.

For Instagram & WhatsApp Users:

If you chatted via Instagram Direct Messages or WhatsApp, you can delete your data using:

  1. Self-Service: Visit /myhistory to delete your conversation history
  2. Email Request: Contact with your Instagram username or WhatsApp number for manual deletion

Note: Due to platform limitations, Instagram and WhatsApp data deletion is not automatically triggered when you remove MyOBot from Facebook. Please use one of the methods above.

Deletion Timeline

Important: MyOBot uses a soft-delete policy to maintain usage tracking and billing purposes while respecting your right to data deletion. All deleted data is immediately removed from active use and permanently purged after the retention period.

  • Immediate (0 days):Deleted data is immediately removed from active view and marked as deleted in our system. The data cannot be accessed or used for any purpose except legal compliance and billing reconciliation.
  • User-Deleted Data:Conversations and searches you delete are immediately hidden from all interfaces and will be permanently removed after 90 days
  • Owner-Deleted Data:Data cleared by account owners shows "Removed by account owner" badge to users and will be permanently removed after 90 days
  • 90 Days (Permanent Deletion):All soft-deleted data is permanently and irreversibly removed from our systems, database, backups, and archives. This includes all conversation history, messages, and personal identifiers.
  • Account Deletion:Account deletion are processed within 30 days. All associated data follows the same 90-day permanent deletion timeline.

Why 90 days? This retention period allows us to maintain accurate billing records, handle disputes, and comply with legal obligations while ensuring all personal data is eventually removed from our systems. The data is inaccessible during this period and used only for these limited purposes.

Important Notes

Data We May Retain

We may retain certain data when required by law or legitimate business purposes:

  • Legal Compliance: Transaction records, invoices, and tax documents (as required by law)
  • Security: Fraud prevention logs and security incident records
  • Dispute Resolution: Records related to ongoing disputes or legal proceedings
  • Aggregated Data: Anonymized analytics that cannot identify you personally

Soft Delete Policy

What is Soft Delete? When you or the account owner deletes data, it is immediately marked as deleted and removed from all active systems. The data is inaccessible for operational use and is retained for 90 days only for billing reconciliation and legal compliance purposes.

Why 90 Days? This retention period is necessary to:

  • Complete billing reconciliation and handle payment disputes
  • Comply with legal and regulatory requirements
  • Maintain audit trails for security and fraud prevention

After 90 Days: All soft-deleted data is permanently and irreversibly purged from our systems, including databases, backups, and archives. Once deleted, the data cannot be recovered under any circumstances.

Third-Party Platform Data

Please note that data shared with or stored by third-party platforms (Facebook, Instagram, WhatsApp, LINE, Telegram, etc.) is subject to their own data retention and deletion policies. To delete data from these platforms:

  • Visit each platform's privacy settings
  • Follow their data deletion procedures
  • Remove MyOBot from connected apps/integrations
